1. Returns & Exchanges policy
GICS-UK — Website Terms (Returns, Cooling-Off, VAT Relief, Battery Policy, Warranty), Effective for all Distance & Online Sales

1. Scope & Applicable Law
These terms apply to all purchases made from GICS-UK via website, telephone, invoice or other distance sales channels.
This policy complies with:
• Consumer Contracts Regulations 2013 (Cooling-Off & Distance Sales)
• Consumer Rights Act 2015 (Faulty Goods)
• Alternative Dispute Resolution Regulations 2015
• HMRC Notice 701/7 (VAT Relief)
• IATA/ADR Dangerous Goods Regulations (Lithium Batteries)
2. Product Categories
Products sold by GICS-UK are categorised as:
Category A — Power Wheelchairs
Category C — Mobility Accessories & Related Items
(e.g. lithium batteries, chargers, controllers, bags, seat cushions)
Rollators/Walking Aids are excluded from VAT Relief and may follow separate terms.
3. 14-Day Cooling-Off (Change-of-Mind)
Under the Consumer Contracts Regulations 2013, customers have a 14-day cooling-off period from the day after delivery to cancel for any reason, provided goods are:
✔ unused
✔ complete
✔ in resellable condition
Customers are responsible for return/collection costs for change-of-mind returns.
4. Fixed Collection & Return Fees (Change-of-Mind)
To simplify large mobility returns, GICS-UK applies fixed fees for collection and logistics transportation fee:
Category A — Power Wheelchairs
• UK Mainland: £120
• Scotland Mainland: £170
• UK Islands: £200
• Extended UK Regions: £120
Category C — Accessories & Small Goods
• Customer pays return postage £30
• On both Category : Collection / Transportation / Depreciation (if applicable)
Refused Delivery / Failed Delivery Attempt
• Power Wheelchairs:
• UK Mainland: £120
• Scotland Mainland: £170
• UK Islands: £200
• Extended UK Regions: £120
• Small Goods: £30.
Fees are fixed for clarity and fairness .
5. Condition & Depreciation (Used Market Integration)
Returned mobility goods may enter a used/resale market. Refunds may be adjusted based on condition:
• As new / unused: 0%
• Light indoor test use: 10%–25%
• Visible usage (e.g. tyre wear, marks): 30%–40%
• Not hygienic or unsafe: refund may be refused
Used mobility products typically retain ~50% residual value in UK resale markets.
Refund Formula:
Refund = Product Price − Depreciation − Collection Fees − Transportation Fees − Handling Fees(if applicable).
6. Refused Delivery & Failed Collection
Outward delivery is deemed completed once attempted.
Refusals or failed collection attempts incur applicable logistics fees.

7. After Cooling-Off Period
Beyond 14 days, change-of-mind returns are discretionary and assessed against:

✔ Collection cost
✔ Hygiene & safety
✔ Secondary market value
8. Hygiene & Safety Requirements
Returns must be safe, clean and hygienic.
Returns may be refused if:
✘ contaminated
✘ soiled
✘ wet
✘ bio-hazard
✘ odorous
✘ unsafe
These conditions reflect industry hygiene standards.
9. Faulty, Damaged or Misdescribed Goods (CRA 2015)
Faults validated under the Consumer Rights Act 2015 may be remedied via:
• repair
• replacement
• refund
Cosmetic wear, misuse or user-damage is excluded from faults.
10. VAT Relief (HMRC Notice 701/7)
Eligible disabled customers may claim VAT Relief on qualifying goods:
✔ Category A — Power Wheelchairs
✔ Category C — Mobility accessories for disabled use
Process:
Declaration issued via GICS-UK
Customer completes & signs electronically
Must be signed before dispatch
Family may sign on behalf of user
Records retained 6 years (HMRC)
Non-completion may delay dispatch or VAT may be charged.
11. Lithium Battery Policy (Airline-Friendly & DG Compliance)
Units include removable lithium batteries designed to comply with:
✔ UN3481
✔ IATA/ADR DG Regulations
✔ MSDS available on request
Battery Returns:
• Battery must remain installed in device
• Loose battery returns are not accepted
• Damaged batteries may void returns
• DG return cost liability may apply
12. Used Mobility Goods & Warranty10. VAT Relief (HMRC Notice 701/7)
Returned or traded units may be classified as:
• Used Mobility
• Seller Refurbished
• Certified Used
Warranty Coverage (New Products):
• Power Wheelchair: 12 months
• Battery Pack: 6 months
Warranty Coverage (Used Products):
• Device + Battery: 30 days functional warranty
Warranty covers functional components:
✔ motors
✔ controller
✔ battery
✔ mechanical parts
Warranty excludes:
✘ cosmetic wear
✘ misuse
✘ accidental damage
✘ hygiene-related issues
✘ normal capacity degradation
Remedy is repair or replacement, not refund.
13. Return Facility & Address
Return facility addresses are not publicly displayed for logistics & safety reasons.
Address will be provided upon approval of return.
14. Refund Timeline
Refunds are issued within 14 working days after inspection.
15. Dispute Resolution
GICS-UK supports ADR-compatible dispute resolution.
This policy does not affect statutory consumer rights.

Mobility products entering the used market typically retain around 50% of new value.
Refused Delivery & Failed Collection
I understand that refused delivery or failed collection attempts are treated as completed outbound logistics and incur the applicable fees listed above.
VAT Relief (If Applicable)
I understand VAT Relief for disabled users requires a signed declaration before dispatch.
If the declaration is not completed, VAT will be charged.
Battery Safety & Returns
I understand that lithium batteries must remain installed in the unit for returns, and loose battery returns are not accepted for safety and compliance reasons.
Warranty (Used Mobility)
I understand that used mobility equipment includes a 30-day functional warranty with an optional upgrade to 90 days(Extra Fees).
Warranty provides repair/replacement only, not refunds.
Refund Timeline
I understand that refunds (if applicable) are processed within 14 working days after inspection.
Statutory Rights
These terms do not affect statutory rights under UK consumer law.

2c. Evidence Pack Protocol, GICS-UK collects, verifies and stores condition evidence for mobility equipment for the purposes of :
1. Chain of Custody — Intake Procedure
Upon return or failed delivery, GICS-UK records:

✔ date & time
✔ GPS location (where provided)
✔ carton condition photos (all 6 sides)
✔ tamper evidence (seals/tape)
✔ serial number & unit ID
✔ customer name + order reference
Evidence is timestamped and securely archived.
2. Tyre Wear & Outdoor Use Assessment (Mobility Standard)
Mobility equipment may show tyre evidence of use. GICS-UK documents:
✔ tread marks
✔ surface abrasion
✔ flattening/indentation
✔ embedded dust/grit
✔ grass/mud trace
✔ outdoor particulate
✔ radial/sidewall scratches
These indicators distinguish:
Indoor Test Use (light)
vs
Outdoor Use (material depreciation)
3. Seat & Cushion Compression Evidence
Seat textiles and cushions compress with usage. GICS-UK records:

Seat compression is highly correlated with real-world usage and secondary market valuation.
